HEADSHOT SESSION TERMS OF SERVICE The Lens House — Marketing & Media These Terms of Service apply to all Brokerage, Team, and Group Headshot Sessions booked with The Lens House.
1. Booking & Deposit A 50% deposit is required to secure the session date and time. The session is not considered booked until the deposit is received. Remaining balance is due no later than the day of the session, prior to the start of photography.
2. Cancellation, Rescheduling & Refunds Deposits are fully refundable if the client cancels 7 or more days before the scheduled session. Cancellations made within 7 days of the session forfeit the deposit. If the client requests to reschedule: 7+ days in advance: Rescheduling is allowed at no additional cost. Less than 7 days: A reschedule fee of $100 may apply. If The Lens House must reschedule due to weather, emergency, or unforeseen circumstances, all deposits transfer to the new date or may be refunded upon request.
3. Team Participation & Tier Pricing Pricing is based on the number of confirmed participants within each tier or on hourly session length, depending on the service selected. The final invoice will reflect the tier booked or the actual number of participants—whichever is higher. Substitutions are allowed at no charge.
4. Location Requirements All headshot sessions are conducted at the client’s chosen location (brokerage office, listing, new construction home, event space, outdoor area, etc.). For outdoor sessions, the client must provide a weather-safe backup location. The Lens House does not provide studio space or shooting locations.
5. Location Permissions, Permits & Fees (New Clause Added) The client is fully responsible for securing any required permissions, permits, or location fees associated with their chosen site. This includes, but is not limited to, locations such as: Coffee shops Breweries Model homes New construction sites Coworking spaces Restaurants or commercial venues The Lens House will not obtain these permissions on the client’s behalf. If proper authorization is not secured and the shoot cannot proceed, the deposit will not be refunded, and no reshoot or credit is provided.
6. What’s Included Each participant receives 5 edited images (Brokerage/Team Packages) or 3 edited images (Group Sessions), depending on the selected service. Individual online galleries are provided for easy viewing and download. Additional edited images may be purchased.
7. Editing & Retouching Standard retouching includes color correction, brightness adjustments, blemish reduction, and light skin smoothing. Extensive retouching (body reshaping, major object removal, or advanced edits) may incur additional fees. Editing style is consistent with The Lens House portfolio.
8. Photographer Substitution The Lens House may assign any qualified team photographer to fulfill the session. If a scheduled photographer becomes unavailable, a replacement will be sent or the session rescheduled at no penalty.
9. Liability The Lens House is not responsible for: Injuries occurring on-site Wardrobe issues or styling dissatisfaction Delays caused by participants or location access Clients are responsible for arriving prepared and on time.
10. Image Delivery Timeline Individual headshots delivered within 7–10 business days. Team/group shots delivered within 10–14 business days. Rush delivery may be available for an additional fee.
11. Acceptance of Terms By booking a session and paying the deposit, the client acknowledges and agrees to all terms stated above.
